Making your tools talk: a practical guide to system integration

· Ian Bensley

Your CRM, accounting, website and spreadsheets should share data automatically. Here's how system integration works, in plain terms, and what to watch for.

Most businesses run on a handful of tools that don't talk to each other. The result is copy-paste, conflicting numbers, and endless "which system is right?" arguments. Integration fixes that.

What integration actually means

It's connecting your tools so an action in one updates the others automatically. A sale on your website creates the invoice, updates the CRM and notifies the team - without anyone re-typing anything.

APIs, webhooks and connectors

Modern tools expose APIs (a way for software to talk) and webhooks (a nudge when something happens). Sometimes a no-code connector like Zapier is the right tool; sometimes volume, cost or reliability call for a proper integration. Choosing correctly is half the job.

Pick a source of truth

When two systems disagree, one has to win. Deciding where each piece of data lives - and keeping everything else in sync with it - is what stops the conflicting-numbers problem for good.

Clean before you connect

Integrating messy data just spreads the mess. A cleanup and de-dupe usually comes first - see the readiness checklist.
