AI automation without the hype: what it actually means, where it helps, and how a business owner should think about getting started.
"AI automation" gets used to mean everything and nothing. Strip away the hype and it's simple: using software - some of it powered by AI - to do repetitive work that a person is doing by hand today.
Automation vs. AI
Automation is rules: when this happens, do that. Move data between apps, send a follow-up, generate a report. It's deterministic and it's been around for years. AI adds judgement to the mix: drafting a reply, reading a document, summarising a thread, answering a question. The magic is combining them - AI for the fuzzy parts, rules for the parts that must be exact.
Where it actually helps
The sweet spot is work that is high-volume, repetitive and follows a pattern: data entry, follow-ups, document processing, reporting, answering the same customer questions over and over. If a person does it roughly the same way each time, it's a candidate.
Where it doesn't
AI is a poor fit for anything that needs accountability without a human check, or where being wrong is expensive and hard to catch. The rule I use: let AI draft and suggest, keep humans deciding on anything that matters.
How to start
Not by buying a tool. Start by finding the work worth automating - that's what an AI readiness assessment is for. Then build the highest-payback pieces first and measure the result.
