Automate around the tools you already use - don't rip and replace
· Ian Bensley
You don't need a new stack to automate. Here's why building around your existing tools beats a rip-and-replace, and when replacement is genuinely worth it.
The default sales pitch for automation is a shiny new platform that replaces everything you have. It's usually the wrong move - expensive, disruptive, and it throws away tools your team already knows.
Your tools are an asset
You've already paid for your CRM, your accounting, your website, your spreadsheets. Your team has already learned them. The smart play is to make them work together, not start over. System and data integration connects what you have so information flows on its own.
Automations that mould around you
The best automation is one your team barely notices, because it fits how they already work. It sits quietly between your existing tools, moving data and doing the repetitive steps, while everyone keeps using the apps they know.
When replacement is worth it
Sometimes a tool genuinely is the bottleneck - it can't integrate, it's unreliable, or it's costing more than it returns. Then replacing it is the right call. But that should be a deliberate decision, not the default. And because I have no preferred vendor, I'll tell you honestly which it is.
